PassagePlan Pro ("we", "us", "our") is operated by Sharp Digital Solutions Ltd. This policy explains how we collect, use, and protect your personal data when you use our passage planning decision-support software.

Data We Collect

  • Account information — name, email address, company name, role (admin/crew)
  • Vessel details — vessel name, IMO number, MMSI, dimensions, engine specifications, and other particulars you enter
  • Passage plan data — route details, waypoints, departure/arrival ports, tidal notes, weather notes, hazards, contingency plans, and all other fields in your passage plans
  • RTZ route files — files uploaded from your ECDIS for route import
  • Usage data — plan generation counts, feature usage for service improvement

Why We Collect It

  • Service delivery — to operate the decision-support workspace, aggregate authoritative data into passage plans, and manage your fleet
  • AI extraction and assistance — vessel details, route data, and OOW-uploaded documents are sent to the Anthropic API for text extraction and, in Quick Draft mode, draft content generation. AI-derived fields are flagged in the plan and require master verification.
  • Weather and tidal data — waypoint positions are sent to weather and tidal data providers to fetch forecasts
  • Fleet management — to enable shore-side oversight of vessel passage plans
  • Account administration — authentication, billing, and support

How We Store Your Data

All data is stored in a PostgreSQL database hosted by Supabase with encryption at rest. Data is transmitted over HTTPS/TLS. Database access is controlled by row-level security policies ensuring users can only access their own company's data.

Third-Party Data Sharing

We share data with the following third parties solely to provide the service:

  • Anthropic API — vessel details, route data, and uploaded documents are sent to Anthropic's Claude API for text extraction and AI-assisted draft generation. Anthropic does not store your data beyond the API request. Data is processed in transit and not retained by Anthropic for training or any other purpose.
  • Open-Meteo — waypoint coordinates are sent to retrieve marine weather forecasts (ECMWF/GFS models)
  • StormGlass — waypoint coordinates are sent to retrieve tidal predictions
  • NGA Maritime Safety Information — waypoint coordinates are used to check for NAVAREA warnings
  • aisstream.io — vessel MMSI numbers are used for AIS position tracking on the fleet map
  • ADMIRALTY Tidal API (optional) — waypoint coordinates may be sent to the UKHO API for official tidal data
  • Stripe — payment processing. We do not store payment card details.

We do not sell, rent, or share your data with any party for marketing or advertising purposes.

Data Retention

Passage plans and vessel data are stored for as long as your account is active. You may delete individual plans at any time. When you close your account, all associated data is permanently deleted within 30 days.

Your Rights

You have the right to:

  • Access your personal data and passage plan data at any time through the platform
  • Export your passage plans as PDF documents
  • Delete your data, including individual plans or your entire account
  • Rectify inaccurate personal data through your account settings
  • Object to processing or request restriction of processing
  • Data portability — receive your data in a structured, machine-readable format

GDPR Compliance

We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Our lawful basis for processing is the performance of a contract (providing the service you have subscribed to) and legitimate interests (improving the platform and ensuring security).
